Sharing & collaboration

Invite your team and clients to review.

Layernote makes it easy to bring your entire team — and external stakeholders — into the feedback process. Share projects and folders with a link, collaborate in real time, and set deadlines to keep reviews on track. No one needs to install anything or create an account to participate.

Every project can be shared with a unique link. Click the Share button in the project header to generate one.

Permission levels

When creating a share link, choose the level of access recipients will have:

  • View — Recipients can see the project, browse annotations, and view the kanban board, but cannot make changes.
  • Comment — Recipients can view everything and create new annotations or reply to existing ones, but cannot edit or resolve other people's feedback.
  • Edit — Recipients have full access to create, edit, resolve, and manage annotations.

You can change the permission level or revoke a share link at any time from the project sharing settings.

Password protection

For sensitive projects, enable password protection on a share link. Recipients will be prompted to enter the password before they can access the project. This is useful when sharing with external clients or stakeholders outside your organization.

Pausing comments

You can pause commenting on a shared project at any time. When commenting is paused, guests can still view the project and existing feedback but cannot create new annotations or replies. Resume commenting when you are ready for another round of feedback.

Email invitations

Invite specific people to a project by email directly from the share modal. Invitees receive an email with a link to the project and can start reviewing immediately.

Folder sharing

Share an entire folder and all the projects inside it with a single link. Folder share links work the same way as project share links — set permission levels, add password protection, and revoke access when needed. This is useful when a stakeholder needs to review multiple related projects at once. See Folders for more details.

Feedback deadlines

Set a feedback deadline on any shared project to define a clear review window. When a deadline is set, you can schedule automatic email reminders to all invitees. Choose from reminders one week before, three days before, one day before, or on the deadline day itself — or any combination of these.

Deadlines are visible in the project header and in email notifications.

Guest access

External collaborators do not need a layernote account to leave feedback. When someone opens a share link with comment or edit permissions, they are prompted to enter their name and email. Their annotations are attributed to them by name, and they receive email notifications when someone replies to their feedback.

Guest access is ideal for client reviews, stakeholder approvals, or collecting feedback from anyone outside your immediate team.

Real-time collaboration

When multiple people are viewing the same project, layernote keeps everything in sync in real time.

Presence indicators

The project header shows who is currently viewing the project. This helps you coordinate live review sessions and know when your team is online. Typing indicators show when someone is actively writing a comment.

Instant updates

When someone creates, edits, or resolves an annotation, the change appears immediately for everyone viewing the project. There is no need to refresh the page. The kanban board, annotation list, and project view all update in real time.
